Description

At Dorothy House we work to ensure that everyone in our community with a life-limiting illness has access to the best possible end of life care for free when and where it is needed the most.

The Estates & Facilities Department is pivotal in ensuring that high standards of support services and facilities are maintained to enable the organisation to achieve the provision of outstanding care. As a department, we look after a portfolio of 29 locations, across a 700 square mile area, that include clinical, retail, fundraising, housekeeping, estates grounds, catering and office activities.

ESTATES AND FACLILITIES CO-ORDINATOR | Band 3 £22,816 - £24,336 per annum (pro rata)

We are seeking a self-motivated, compassionate, flexible and highly organised individual who loves working as part of a diverse team to join our Estates & Facilities Department.

With an exceptional eye for detail, your main focus will be providing administration and co-ordination support to our Health & Safety Compliance Officer and Estates & Facilities managers. Other duties will include:

  • Risk Assessment Management: Monitor and follow up on risk assessment review dates and actions to ensure timely compliance.
  • Digital Implementation: Contribute to the development and implementation of digitised processes to enhance health and safety operations.
  • Reception Cover: Provide front-of-house support, including opening and closing duties, and maintain up-to-date reception records.
  • Facilities Management: Assist in monitoring maintenance requests and creating reports in the absence of the Estates Manager or Office Manager.
  • Energy & Utilities Management: Support the management of utility usage, maintain inventories, produce reports, and promote energy awareness initiatives.
  • Administrative Support: Provide comprehensive administrative assistance to various teams, including Health & Safety, Estates, Housekeeping, and Catering.
  • Record Keeping: Maintain thorough paper and electronic filing systems for all relevant documentation across departments.

HOURS OF WORK

This is a Part Time position. You will be contracted to work 22.5 hours per week.

This role will be based both at our Dorothy House Hospice in Winsley, as well as include visiting patients at their homes in the community, and community clinics.

ABOUT YOU

Essential requirements:

  • A good standard of Maths and English.
  • Confident using Microsoft packages such as Word and Excel.
  • Experience working within an administrative role.
  • Experience working with and maintaining electronic databases / systems.
  • Able to work under own initiative and prioritise workloads accordingly.
  • A team player, who is confident in communicating to a variety of stakeholders at different levels.

Desirable requirements:

  • Experience of working in a health & safety role/facilities management environment.
  • Experience of working within a charity.
